Benefit Systems runs more than 300 fitness clubs in Poland, the largest network in the country, and keeps opening new ones. Since 2019 we have run the production of visual communication behind those openings and campaigns: key visuals and full sets of materials, from building meshes to digital screens, delivered in a fixed rhythm. In the last twelve months that meant about 1,600 briefs from some thirty people on the client's side.
Opening campaign, in context

The problem
A club opening is a date that does not move, with a long chain of printing and installation behind it: materials have to be final two and a half months before the doors open. More than fifteen project managers run openings in parallel. With briefs written ad hoc and each project coordinated separately, that meant chasing statuses, duplicated feedback and files arriving late enough to threaten the opening.
What we took responsibility for
The whole production system behind openings and campaigns: structured intake, a fixed asset checklist for every opening, the key-visual framework, and production-final files 2.5 months before the doors open.
Capabilities at work
- Strategy & Design
- One key-visual logic adapted per location and format: locked brand structure, variable local expression.
- Digital products
- Landing pages for new-club openings and club services.
- Creative delivery
- A standing production calendar: every PM sees the same pipeline, every asset has a dated decision gate.
- AI elevation
- Format multiplication: one approved master fans out into the full media package.
Decisions
The diagnosis (step 01) traced the delays to unstructured briefs and unclear ownership of approvals. In step 02 every opening became a fixed checklist of materials with deadlines counted back from the opening day. In step 03 we built a layout system: one key-visual logic adapted to each location and format. Delivery (step 06) runs on a shared production calendar, so every project manager sees the same queue and every file has a dated decision.
How we delivered
Every opening gets its own key visual inside a fixed frame: the brand structure stays, the local expression changes. Thanks to the checklist a new club enters production as a configuration, not as a project from scratch. AI helps multiply formats: one approved master becomes the full set of materials.
The work
Tools the team runs on its own
Paste a link and the print-ready A4 poster builds itself: a vector QR code in the colours of the chosen network, five brands from one template.
One price list, five networks, portrait or landscape. Prices are editable and the total cost of the contract recalculates on its own.

Outcome
A production system that keeps the two-and-a-half-month deadline across parallel openings, at about 130 briefs and more than 850 files a month. Over 300 clubs and more than fifteen project managers served from one queue instead of fifteen inboxes, in a partnership that has run since 2019.
Reflection
What the client buys here is reliability. When openings run in parallel, the way work flows matters as much as the design, because that is what keeps quality intact at this volume.
The communication is seamless, and their commitment to quality translates directly into our business results.
